Describe the same scope to every bidder
Provide quantities, specifications, brands or performance standards, delivery location, drawings, target schedule and commercial requirements.
Ask for a complete price
Require bidders to identify tax, delivery, installation, testing, warranty, payment terms, validity and exclusions. A low unit price is not comparable when essential costs are omitted.
Evaluate beyond price
Check technical compliance, stock or manpower capacity, references, warranty support, lead time and proposed substitutions before selecting an offer.
Document the decision
Keep the original request, received quotations, clarification log, evaluation table and approval record for future audit and project control.
